Our Approach

Market ranges, clearly shared

Accurate pricing for managed IT depends on the shape of your business — your environment, your people, your priorities. We share the market openly so you can plan with confidence, and work through the specifics together in a discovery call.

Managed IT pricing varies widely — from around $50 per user per month at the low end to $400+ at the premium end, depending on scope, security posture, compliance requirements, and engagement depth. Sharing the full range — rather than a single number — lets you see where your situation fits and make an informed decision before any conversation begins.

The ranges on this page are drawn from industry benchmarks: the Service Leadership report, Kaseya's MSP Benchmark Survey, and CompTIA data. You can see where your situation falls, what the full market looks like, and what each level of service typically includes. Byte Clarity's rates sit in the upper half of each range. That reflects what we bring — senior engineers with 20+ years of aerospace and defense experience, month-to-month service terms, priority response, and strategic depth on the advisory side.

When quality of work, trust, and long-term partnership are what you're optimizing for, that's where we thrive. A 30-minute discovery call is the best way for both of us to see whether it's a good fit — no pressure either way.

Per-User Managed IT

Three levels of managed IT

The primary pricing model for knowledge workers. Field/frontline workers (email and mobile only) price as a lower-cost add-on — roughly $50–$100/user/month in the current market.

Basic IT management

The foundation: keep systems running, patches current, and someone on the other end of the line when something breaks.

Market range
$50–$100
per user / month

Best for: Small teams (5–15) building IT foundations; no heavy compliance need.

What's typically included

  • Endpoint monitoring and alerting
  • Patch management for OS and common apps
  • Basic antivirus and email filtering
  • Business-hours helpdesk support
  • Monthly system health reports
Most common

Standard managed IT

Proactive management across workstations, cloud, network, and security — the typical full-service managed IT relationship.

What's typically included

  • Everything in Basic
  • Proactive network and cloud platform management
  • Backup monitoring and verification
  • Priority support response
  • Quarterly business reviews
  • Security awareness training access

Premium / strategic

Full managed IT plus virtual-CIO-level advisory: technology roadmap, advanced security, compliance readiness, and executive reporting.

Market range
$200–$325
per user / month

Best for: Established businesses (25–50+) with compliance, strategic, or complex-environment needs.

What's typically included

  • Everything in Standard

Where Byte Clarity sits

Byte Clarity's rates sit in the upper half of each range above — and the upper third for Premium / Strategic engagements. That reflects what we bring: senior engineers with 20+ years of aerospace and defense experience, month-to-month service terms, priority response, and strategic depth on the advisory side.

Alternative Models

Not every business fits per-user

Per-user works for most SMBs. For situations where it doesn't — heavy server infrastructure, variable support needs, or a team not yet ready for a retainer — three alternative models cover the gap. Each is priced against current industry ranges.

Per-device

Better fit when device count is more stable than user count — shared workstations, heavy server footprint, or contractor-rotating environments.

Workstation
Monitoring, patching, antivirus, helpdesk support
$50–$150/mo
Server
Full management, monitoring, backup verification, security hardening
$150–$275/mo
Network device (firewall, switch, AP)
Monitoring, firmware updates, configuration backup
$35–$75/mo

Most MSPs require a 10-device minimum for this model.

Block hours

Pre-purchased support hours with volume discounts. Good for clients supplementing internal IT or with genuinely variable support needs.

5 hours
$175–$225/hr
10 hours
$150–$200/hr
20 hours
$135–$185/hr
40 hours
$110–$165/hr

Hours don't roll over — use-it-or-lose-it monthly. The discount reflects that.

Break-fix

No contract, no retainer — just help when something breaks. Available to any business, good for testing us before committing to a retainer.

Standard
Next business day
$100–$200/hr
Priority
Same business day
$150–$250/hr
Emergency / after-hours
2-hour response
$200–$350/hr

Minimum 1-hour billing per engagement; materials at cost + small handling fee.

Advisory & Fractional CIO

Strategic IT leadership, right-sized

Executive-level technology guidance shaped to your company's pace — from quarterly check-ins to fractional CIO depth. Market ranges below; scope and cadence shape where you land.

Quarterly check-in

2–3 hrs/quarter

$400–$800
per month, market range

Stable operations that need an occasional outside perspective.

Monthly advisory

4–6 hrs/month

$1.2k–$2.5k
per month, market range

Growing companies making regular technology decisions.

Weekly strategic

10–15 hrs/month

$3k–$5.5k
per month, market range

Rapid-growth companies or complex environments.

Fractional CIO

20–30 hrs/month

$5k–$10k
per month, market range

Executive-level IT leadership scaled to SMB pace and budget.

Scoped Projects

One-off project work

Market ranges for common scoped engagements. The actual number always follows a scoping conversation — wide ranges reflect the real variation between a simple cutover and a full re-architecture.

Cloud / M365 migration

$5k–$50k
per project

Email, files, and collaboration tooling migrated to Microsoft 365 or Google Workspace. Scope drives the number — simple cutover vs. re-architecture.

Compliance readiness assessment

$5k–$20k
per project

Gap analysis for SOC 2, HIPAA, FTC Safeguards, or CMMC. Identifies what's in place, what's missing, and a prioritized remediation plan.

Penetration testing

$5k–$35k
per project

External-only, internal-only, or combined. Small-business engagements start low; combined with full reporting and retest runs higher.

Disaster recovery setup

$3k–$12k
per project

Backup architecture, offsite replication, documented recovery runbooks, and tested restores. Appliance and licensing additional.

Security awareness training

$12–$60
per user/year

Annual subscription per user — platform access, phishing simulation, and coaching. Range reflects basic platform vs. premium coverage.

Network redesign / upgrade

$10k–$50k
per project

Full network refresh — firewalls, switches, access points, segmentation. Typically paired with an advisory retainer for planning.

CRM implementation

$5k–$15k
per project

HubSpot, Salesforce, or similar — setup, data migration, pipeline config, and team training. Complexity drives the range.

Workflow automation

$2.5k–$10k
per workflow

Business-process automation — document workflows, approvals, integrations. Scoped per workflow based on integration count and logic complexity.

What's not in any of these numbers

Managed-services pricing covers our people and processes. Hardware, licenses, and third-party subscriptions are separate — and you own them directly whenever possible.

Frequently Asked

Pricing questions, straight answers

Why don't you publish your exact rates?

Accurate pricing for managed IT depends on your environment — what systems you run, your compliance obligations, your existing vendor stack, and where you want to start. A single published rate wouldn't reflect the real variation in what SMBs need. The ranges above are the market; your actual number comes from a 30-minute discovery call.

Are there long-term contracts?

No. All managed-services engagements are month-to-month with 30-day notice for any change or cancellation. No termination fees, no minimum commitment — continuation is a decision you make each month, not a contract you have to unwind. We earn your business every month through the quality of our work.

What about setup or onboarding fees?

None for standard managed-services engagements. Complex migrations and multi-site rollouts are scoped separately as projects with firm quotes before work begins.

Can we change tiers as our needs evolve?

Yes — upgrade or downgrade with 30 days notice. Most clients move up a tier within the first year as we find opportunities to add strategic value, and some move down when things stabilize.

Do prices increase over time?

We review pricing annually (October) with 60 days written notice before any change. Typical adjustments reflect cost-of-service increases — usually 3–5%. Long-term strategic accounts are often held flat.

What's not included in managed-services pricing?

Hardware, software licenses, third-party SaaS subscriptions, and telecom are pass-through at cost with a small handling fee — you own these directly whenever possible. Our revenue comes from expertise and delivery, so recommendations stay focused on what's best for your business.

Do you offer break-fix support without a managed-services agreement?

Yes. Break-fix is available to any business at market hourly rates (typically $100–$350/hour depending on urgency). No minimum commitment. Good fit for teams testing whether managed IT makes sense, or for small environments where a retainer isn't right yet.

Non-profit pricing?

Standard 10% discount off managed-services rates for 501(c)(3) organizations. Applied automatically — just let us know your status on the discovery call.
